Organisation
The Art Rotterdam art fair is the property of and will be organised by Art Rotterdam BV, referred to hereafter as Art Rotterdam. Art Rotterdam has final responsibility for the content of the art fair.
Location and opening times
The art fair will take place at Rotterdam Ahoy on Ahoyweg 10 in Rotterdam, the Netherlands from Thursday 27 March up to and including Sunday 30 Mach 2025.

Assembly and disassembly by the galleries
The assembly by the galleries is possible only on Wednesday 26 March between 08.00 and 24.00 hrs. On Thursday 27 March the stands should be equipped and cleared up by 11.00 hrs at the latest. Stocking up should take place between 09.00 and 09.45 hrs on each of the public days (from 28/3 – 30/3). Stands must be manned during all opening times including during the private opening times. Stands should be cleared on Sunday evening 30 March by 24.00 hrs at the latest. Disassembly takes place on Sunday 30 March from 19.00 to 24.00 hrs.
Participation and registration
Participation is open to galleries, project spaces and art dealers active in modern, contemporary and/or topical art in the broadest sense of the word. Registration is only possible by way of the enclosed registration form. This form does not guarantee participation. All applications for participation will be presented for assessment to the selection committee. The registration form should be in the possession of Art Rotterdam by 11 October 2024 at the latest. Art Rotterdam stores the information received from applicants in its designated administration. By applying the applicant gives permission for the use and storage of this information. After a participation agreement has been concluded, Art Rotterdam can use this data for the organisation of the fair as well as for related publishing purposes in the form of a (online) catalogue, the online Art Rotterdam Newspaper, website(s) / blogs, social media, etc. Art Rotterdam is authorized to take pictures and motion pictures of the fair and the booth spaces and persons present for the publication purposes of Art Rotterdam. Participants and personnel hired by them will condone the publication and/or distribution of the recordings and indemnify Art Rotterdam for any claims regarding this matter.
Acceptance, admission and payment
Acceptance of registration will take place following approval by Art Rotterdam. Upon acceptance ( December 2024) an advance payment of € 1.500,- (excluding VAT) must be made before December 20th 2024. The remaining payments of the stand rental and the fixed charges plus the statutory VAT are to be paid before February 5th 2025. If payment requirements have not been met on time, the participant has no entitlement in any form. All (payment collection) costs arising from not paying invoices on time will be charged entirely to the participant. In the event of one or more accounts not being paid on time Art Rotterdam is entitled to provide the place allocated to another party without further intervention.
Cancellation of registration / breach of contract
In the event of cancellation of the registration or breach of contract then, up until 3 months before the artfair, 50% of the total costs of participation must be paid by the exhibitor to Art Rotterdam. After this 100% of the total costs of participation must be paid by the exhibitor to Art Rotterdam.
Stand and lighting Each stand will be provided as standard with side and back walls, lighting and a name plate or signing. Main Section: the price for renting the stand per square meter is €250,- (excluding V.A.T.) and a fixed amount of € 750,- (excluding V.A.T.). New Art Section has a fixed contribution per booth [size: 25 m2] € 4.500,- (excluding V.A.T.). Solo/Duo: fixed contribution per booth [size: 30 m2] € 6.900,- (excluding V.A.T.).
Projections, Sculpture Park, Intersections and Reflections are free of charge for the participating galleries in Main & New, Solo/Duo and New Art Section. This form does not guarantee participation. All applications for participation at the free of charge sections for galleries will be presented for assessment to the selection committee.
Intersections has a fixed amount of € 750,- (excluding V.A.T.) for the participating non profit organisations and institutions. This form does not guarantee participation. All applications for participation will be presented for assessment to the selection committee.
For non-Dutch galleries the reverse charge procedure may apply for V.A.T. The gallery has to provide Art Rotterdam with the gallery V.A.T. number. Without the express permission of Art Rotterdam the participant is not entitled to place anything whatsoever outside the lines of the surface area rented by him. The costs of stand assembly include standard lighting. The standholder is obliged to keep the stand clear of all stock, packaging materials and such.
Participants badges Participants are obliged to wear the fully completed ‘participants badges’ in a clearly visible manner. Each stand holder is entitled to a maximum of 4 badges. These are strictly personal and may only be used by the participants themselves. In the event of misuse these badges may be immediately withdrawn by the organizers.
Security
The organizers will provide security outside of assembly, opening and disassembly times from Wednesday 26 March 08.00 hrs to Sunday 30 March 24.00 hrs. In order to prevent theft during the art fair all purchases leaving the art fair should be provided with a fully-completed and signed ‘exit slip’ which will be issued by the organizers. During setting up, opening and disassembly times the care of goods is expressly at the expense and risk of the participant.
Qualification
Art Rotterdam is not liable for loss, theft or damage to persons or goods in whatever form. The participant is obliged to take out proper insurance for this. The organizers are entitled to ask for proof of insurance if they consider it necessary.
General
Art Rotterdam will decide in all cases which are not foreseen by these provisions and conditions. The instructions of Art Rotterdam or an executive organizer appointed by Art Rotterdam must be complied with at all times. In the event of a dispute the court at Rotterdam is solely competent. All information has been put together with care but Art Rotterdam may not be held liable for its accuracy and no rights may be derived from the details provided.
